“Hot Desking”, the term dates from the early nineties. It is a practice what some organizations are implementing in their work culture. It is sometimes called location independent working, in this type of working workers do not have their own desks, but are allocated work and storage space (lockers, drawers, cabinets, tables, chairs, detachable phone lines and instruments, power sockets and LAN connections to connect mobiles and laptops) as per their needs, where they can keep their personal belongings in lockers or filing cabinets when not in the office. An example can be taken of a news reporter who has been out for last fifteen days to cover a story on some festival and now he has to write all the details to submit it for publishing in the news paper. When he started to work on his laptop, one of his relatives hopped into his house. He has no other option left than to stop his work and attend his relative. This type of situation is faced by many professionals especially in news agencies and sales people of an organization.
Hot Desking is the most appropriate answer to all those problems. Hot Desking is the way in which the employees are encouraged to share their workspaces and other office equipment on "as-required" basis. The small business can invest onetime money on the technology and mobile office equipment instead of the traditional office equipment and they can be rest assured about the benefits and the profits. However, there are two ways in which the concept of Hot Desking can be implemented.
  • Traditional: There can be usual desks with complete traditional office setup established and the people who are Hot Desking will come on the designated days and use the office equipment to complete their work. The printers, faxes and other equipments are also provided by the companies. This type of setup is useless occupancy of furniture and space, because they are used only on particular days.
  • Informal: In informal Hot Desking, the employees are given option of using the seats in the office as they are available (if someone is on leave). There are generally laptops and mobile phones which are issued to the employees and they communicate using the wireless telephony.
From a managerial point of view, Hot Desking is viable because it can cut overhead costs significantly. However, the concept won't work in environments where employees are expected to be in the office most of the time. Besides, for some employers, the cost benefits are outweighed by the lack of ability to monitor employee activities. For employees, the system also has both drawbacks and benefits. Many employees are reluctant to give up personal space but others are happy to have more flexibility.
It has been seen that about 70 per cent of the time people in jobs like management consultancy, sales and customer service are not at their desks due to the nature of their work. So this type of arrangement can be quite cost effective for the companies and flexible work time for the employees.
